Review Changes, Diagnose Data Issues and Recover Records
DocketTrak provides audit histories, validation tools and recovery features that help subscribers understand record activity and maintain reliable docketing data.
Account Health Check Dashboard
The Admin-only Account Health Check Dashboard displays metrics that identify potential issues with trademark, patent, user and general account data or settings. Green indicates that no issue was detected, yellow identifies a smaller potential issue and red identifies a larger potential issue requiring review.
Dashboard categories include:
- Trademark Data Validation
Checks trademark records for conditions such as duplicate or invalid serial numbers, missing filing dates and other potentially inconsistent data. - Trademark Settings
Reviews account settings that affect trademark updates, docketing rules and related trademark workflows. - Patent Data Validation
Examines patent records for missing, duplicate or potentially invalid information that may require administrator review. - Patent Settings
Evaluates account settings associated with patent imports, updates and docketing activity. - General Data Validation
Identifies potential issues that apply across multiple DocketTrak record types rather than to patents or trademarks alone. - User Data Validation
Reviews user-related information and assignments for conditions that may affect access, responsibility or reporting. - General Account Settings
Checks selected account-wide settings that may influence DocketTrak operation or data quality. - Admin-only access
The dashboard is restricted to Admin users because it evaluates account-wide records, users and configuration.
Metrics and Validation Views
Each dashboard metric links to a Validation View containing the specific records or settings responsible for its count. Direct record links help administrators investigate and correct an issue when appropriate.
Capabilities include:
- Duplicate or invalid serial numbers
Trademark validation metrics identify duplicate serial numbers and values that do not conform to the expected country format. - Missing or invalid filing dates
The dashboard identifies records with missing application filing dates or dates that appear invalid. - Records not updated by an Update Service
This metric identifies active records that have not been updated by an enabled patent or trademark Update Service. - Unspecified client names
The dashboard counts records assigned to the client name “Unspecified,” allowing the subscriber to decide whether those assignments require attention. - Direct links to affected records
The Validation View includes links to the individual records responsible for the metric so administrators can review them directly. - Metric information explaining purpose and calculation
A blue information button explains what each metric evaluates, how its count is calculated and what the result may mean.
Ignore Feature
When a flagged record is valid for the subscriber’s circumstances or a metric is not relevant to its workflow, administrators can exclude selected records from the metric count without changing or deleting the underlying records.
Capabilities include:
- Ignore selected validation records
From a Validation View, an Admin user can select one or more records and mark them as ignored for that metric. - Exclude ignored records from metric counts
Ignored records no longer contribute to the displayed dashboard count. - Show Ignored search option
The Validation View can display records previously excluded from the metric. - Remove Ignore to restore records
An Admin user can remove the Ignore setting so a record is evaluated and counted again. - No deletion of underlying records
Ignoring a validation result does not delete or modify the patent, trademark or other source record. - Subscriber judgment remains in control
The feature recognizes that a value may be correct for a subscriber’s workflow even when it matches a potential-problem condition.
Change Log and Transaction History
Audit histories identify changes to record fields and docketing activity, including previous and new values, the user or automated process responsible and the date of the change.
Capabilities include:
- Previous and new field values
The Change Log preserves both the earlier value and the replacement value so users can see precisely what changed. - User and date identification
Audit entries identify when a change occurred and the user responsible for making it. - Event and deadline changes
Changes to event names, dates, classifications and other deadline information are retained for review. - Notes and completion changes
Audit information includes changes to notes and event-completion status. - Transaction History
Transaction History provides a chronological record of qualifying system and user activity affecting DocketTrak information. - Excel export of audit information
Audit results can be exported to Excel for additional review, distribution or recordkeeping.
Record History and Activity Log
Record History provides context about record activity, while the Activity Log lets users maintain a dated chronological grid of activities, actions and notes on patent, trademark and other Details pages.
Capabilities include:
- Chronological Activity Log entries
Activities appear in date order so users can review the sequence of communications and actions associated with the record. - Activity date and notes
Each entry contains an activity description, its date and optional explanatory notes. - Updated date and user
The grid identifies when an entry was updated and the user responsible for the update. - Record-specific history
Activity information remains attached to the applicable patent, trademark or other DocketTrak record. - Supporting review of work performed
The history helps attorneys, paralegals and administrators understand what work occurred and when. - Information retained with the record
Users can review activity without maintaining a separate external chronology.
Deleted-Record Recovery
Authorized users can recover eligible records that were deleted accidentally, helping protect subscriber information from routine user mistakes.
Capabilities include:
- Undelete eligible records
Records available through the recovery function can be restored instead of recreated manually. - Recovery by authorized users
Access to deleted-record recovery is limited to users with the appropriate authority. - Reduced risk from accidental deletion
The feature provides a recovery path when a user removes a record unintentionally. - Record history retained where available
Restoration preserves the recovered record and its available associated information. - Administrative oversight
Authorized administrators control whether and when a deleted record is returned to active use. - Complements backup and audit controls
Undelete addresses individual record mistakes while DocketTrak’s backups and audit histories provide additional layers of protection.
