Protect Docketing Data with Layered Security and Backups
DocketTrak combines US-based cloud infrastructure, encryption, controlled access, malware monitoring and multiple backup layers to protect subscriber information and support 24/7 system access and availability.
US-Based AWS Infrastructure
DocketTrak is hosted on multiple Amazon Web Services servers in the US. DocketTrak software and subscriber data remain stored within the US.
Capabilities include:
- Multiple AWS servers
DocketTrak uses more than one AWS server to support its hosted application environment. - US hosting
The production infrastructure used to provide DocketTrak service is located in the US. - US storage of DocketTrak software
The application software is maintained within the US-based environment. - US storage of subscriber data
Subscriber databases and stored information remain within the US. - Cloud-based access
Authorized users access DocketTrak through a secure web connection without maintaining local application servers. - 24/7 system access and availability
The hosted system is designed to remain available to authorized subscribers at any time of day.
Encryption in Transit and at Rest
Connections between users and DocketTrak use SSL encryption. Database information is encrypted using AES technologies, including Transparent Data Encryption for data at rest.
Capabilities include:
- SSL-encrypted user connections
Information transmitted between a user’s browser and DocketTrak is protected through an encrypted SSL connection. - AES database encryption
Subscriber database information is encrypted using established AES encryption technology. - Transparent Data Encryption
Database files are protected through encryption at rest without requiring users to alter their normal workflow. - Protection of stored subscriber data
Encryption helps protect information even when it is not actively being transmitted. - Encryption keys protected separately from application servers
Keys are maintained separately so access to an application server alone does not provide the encryption material. - Encrypted uploaded documents
Files attached to DocketTrak records are encrypted as part of the document-storage process.
Document Protection
Uploaded documents are encrypted and stored in an obfuscated location, with access governed by DocketTrak user and record permissions.
Capabilities include:
- Encrypted document storage
Attached documents are encrypted while stored in the DocketTrak environment. - Obfuscated storage location
Files are stored using an arrangement that does not expose a readily identifiable public location. - Authorized-user access
Users must authenticate and have appropriate permission before retrieving attached documents. - Record-based access controls
Access to a document follows authorization for the DocketTrak record to which it is attached. - Protection separate from public web content
Subscriber documents are not intended to function as openly accessible website files. - Support for attached subscriber documents
The protection applies to documents uploaded to supported DocketTrak records.
Four-Tier Backup Strategy
DocketTrak uses multiple backup layers designed to protect against different failure scenarios, including real-time protection, frequent incremental backups and full nightly backups.
Capabilities include:
- Real-time backup protection
A real-time layer protects current database activity as changes occur. - 15-minute incremental backups
Frequent incremental backups capture changes made between full backup cycles. - Nightly full backups
A complete backup is created each night as an additional recovery point. - Daily backup retention
Daily backups are retained according to DocketTrak’s backup schedule. - Weekly backup retention
Selected backup copies are retained on a weekly basis for longer recovery coverage. - Monthly backup retention
Monthly copies extend the available backup history beyond daily and weekly retention. - On-demand Excel export by subscribers
Subscribers can also create their own local Excel exports whenever they want an independent data copy.
Authentication and Access Controls
Security settings help subscribers control who can access DocketTrak and what information each user can view.
Capabilities include:
- Two-factor authentication at account or user level
Two-factor authentication can be required across the account or enabled for selected individual users. - Customizable account-wide password strength
Subscribers can establish password-strength requirements appropriate to their organization. - Automatic lockout after repeated unsuccessful logins
DocketTrak locks an account after repeated failed attempts to reduce password-guessing risk. - Role and user access controls
Permissions limit administrative functions and record access according to the user’s authorized role. - Client access limited to authorized records
Client users receive read-only access only to records the subscriber has made available to them. - Administrative security settings
Admin users manage the account-level authentication and access options available to the subscriber.
Monitoring and Operational Reliability
DocketTrak uses continuous antivirus and anti-malware monitoring together with redundant infrastructure and backups to support dependable service.
Capabilities include:
- Continuous antivirus monitoring
The hosted environment is monitored for malicious software and related security threats. - Continuous anti-malware monitoring
Additional monitoring is used to identify and respond to potentially harmful activity. - Multiple-server infrastructure
The application operates across multiple AWS servers rather than depending on a single machine. - Layered backup protection
Real-time, incremental, nightly and retained backups provide several types of recovery points. - Controlled administrative access
Administrative access to systems and subscriber information is restricted to authorized personnel. - 24/7 system access and availability
Subscribers can access the hosted system around the clock for ordinary docketing work.
Layered Protection for Essential Docketing Information
Security controls work together across infrastructure, connections, databases, documents, users and backups so subscribers can rely on DocketTrak as a secure cloud-based docketing system.
