Calculate, Prioritize and Communicate Docketing Deadlines
DocketTrak combines automated deadline rules, customizable templates, reminder priorities, responsible-user assignments and completion tracking to help subscribers manage important events and due dates.
Automated Deadline Calculations
DocketTrak uses Auto Docket Templates to turn important patent, trademark and other record dates or prosecution activity into events and due dates. Standard rules are included, and Admin users can create templates for subscriber-specific procedures.
Capabilities include:
- Standard patent and trademark rules
DocketTrak includes standard Auto Docket Templates for commonly required patent and trademark events and deadlines. - Subscriber-customizable Auto Docket Templates
Admin users can create templates that reflect the subscriber’s own procedures, terminology, internal reminders and reporting requirements. - Multiple events from one triggering date
A single filing date, office-action date, registration date or other trigger can generate an entire sequence of related events and due dates. - Manual or automatic execution
Users can execute a template manually, while qualifying imports, office integrations and record changes can execute designated templates automatically. - Testing before activation
Admin users can test a template and review the events it would create before activating it for routine use. - Statutory deadlines and internal reminders
Templates can combine official response or maintenance deadlines with earlier internal reminders, client-reporting dates and status checks. - Rules for other DocketTrak record types
Subscribers can create deadline templates for litigation, contracts, corporate entities, copyrights, domain names and other supported record types.
Date Adjustments and Transition Rules
Deadline rules can adjust calculated dates to account for weekends, holidays, selected weekdays and requirements tied to the beginning or end of a period. Transition-date controls allow different calculations to apply as laws or procedures change.
Capabilities include:
- Weekend adjustments
A calculated date can be moved according to the subscriber’s rule when it falls on a Saturday or Sunday. - US holiday adjustments
Templates can account for recognized US holidays when determining the final event date. - Move to a selected weekday
A date can be advanced to the next selected day of the week, such as the next Monday or Friday. - Start or end of month
Calculated dates can be moved to the first or last day of the applicable month, including the previous or following month. - Start or end of year
Templates can move dates to the end of the current year or the beginning of the next year when a procedure requires it. - Rules based on transition dates
Different templates or calculations can apply before and after a specified effective date, helping subscribers accommodate changes in laws and procedures. - Country- and procedure-specific templates
Filters allow calculation rules to apply only to qualifying countries, record types, prosecution activity or other defined circumstances.
Priorities and Responsible Users
DocketTrak assigns responsibility and visual priority to docketing events so users can focus on the work that requires their attention.
Capabilities include:
- Responsible-user assignments
Patent, trademark and other records can be assigned to the attorneys, paralegals or other users responsible for the matter. - Color-coded event priorities
Events can use color-coded priorities to distinguish urgent docket items from routine reminders and lower-priority activity. - Attorney and paralegal responsibility
Multiple users and user roles can be associated with a record, supporting shared responsibility and attorney-paralegal workflows. - User-specific docket views
My Dockets and other views can focus each user on the records and events assigned to that user. - Event classifications
Subscribers can classify events as statutory deadlines, reminders, status checks or other categories appropriate to their procedures. - Search and reporting by responsibility
Views, searches and exports can be filtered by responsible user, user role, event type, priority and other docketing criteria. - Access controls based on assignments
User access can be limited so individuals see only the records and docketing information they are authorized to review.
Reminder Emails
Automated reminder emails deliver upcoming docket information to selected users based on the subscriber’s configured timing, criteria and responsibilities.
Capabilities include:
- Automated recurring reminder emails
DocketTrak sends reminder emails on the configured schedule without requiring a user to prepare and distribute each report manually. - User-specific upcoming events
Each recipient can receive the records and events relevant to that user’s assignments and access permissions. - Configurable timing and criteria
Subscribers control when reminder emails are delivered and which event dates, priorities, record types or other criteria are included. - Links back to DocketTrak records
Reminder messages can include links that take authorized users directly to the corresponding DocketTrak records. - Priorities and responsible-user information
Email content can identify event priorities and the users responsible for the underlying records or deadlines. - Support for subscriber reminder workflows
Different reminder configurations can support attorneys, paralegals, management and other subscriber-defined audiences.
Completion and Activity Tracking
DocketTrak records when docketing work is completed and provides histories that help subscribers review events, actions and record activity over time.
Capabilities include:
- Individual event completion
A user can mark an individual event Done and retain its completion information with the record. - Bulk Mark as Done from multiple views
Authorized users can select multiple records in patent, trademark and other views and mark qualifying events Done in one operation. - Done dates and user identification
Completion information can show when an event was completed and the user responsible for the change. - Activity Log entries
The Activity Log provides a dated chronological grid for recording activities, actions and notes associated with a record. - Change and transaction histories
Audit tools identify changes to events, deadlines, notes and completion status, including when changes occurred and who made them. - Search and reporting on completed events
Views and search criteria can identify completed activity for a selected user, date range, client, record type or other reporting purpose.
Automatic De-Docketing
When qualifying US trademark activity indicates that future events no longer apply, DocketTrak can complete or remove those events automatically and provide confirmation of the changes.
Capabilities include:
- Status-driven trademark de-docketing
Changes in USPTO trademark status or prosecution activity can trigger de-docketing rules for the corresponding DocketTrak record. - Completion or removal of future events
Events that are no longer applicable can be marked Done or removed so obsolete deadlines do not remain on active docket reports. - USPTO activity monitoring
The Trademark Update Service supplies the current USPTO information used to determine when qualifying de-docketing activity should occur. - Automated confirmation emails
DocketTrak sends an email identifying the record, status change and events completed or removed by the automated process. - Subscriber review of changes
The confirmation email and DocketTrak audit histories give subscribers an opportunity to review the resulting record and docket changes. - Patent de-docketing planned for a future release
Automated patent de-docketing is not currently included; the present automated de-docketing workflow applies to qualifying US trademark records.
