Turn DocketTrak Data into Focused Views and Reports
Flexible views, search tools, dashboards and exports help subscribers find records quickly, monitor responsibilities and distribute useful portfolio information.
Custom Views
Custom Views allow subscribers to select the record types, fields and grid columns needed for a particular workflow or report.
Capabilities include:
- Configurable grid columns
Subscribers choose which available fields appear as columns and the order in which they are displayed. - Patent, trademark and other record views
Views can be created for the record types and portfolio information relevant to the subscriber. - Event-focused views
A view can emphasize upcoming, completed or otherwise selected docketing events. - Subscriber-defined layouts
Different layouts can be created for attorneys, paralegals, management, clients and other reporting purposes. - Sorting and filtering
Users organize results using column sorting and the search criteria associated with the view. - Excel export from a view
The current columns and filtered results can be exported to an Excel file.
Search and Advanced Operators
Search criteria can be combined to narrow portfolio results. Advanced AND, OR and NOT operators support more specific questions across multiple values and fields.
Capabilities include:
- Fast record searches
Users can search current DocketTrak views without preparing a separate report. - Multiple search criteria
Several fields and values can be combined to define the records or events included in the results. - AND, OR and NOT operators
Advanced operators include or exclude values and support more precise logical searches. - Field-specific filtering
Criteria can target available dates, statuses, countries, users, clients and other record fields. - Find tool within results
The Find tool locates matching text within the records currently displayed in the grid. - Reusable criteria with Saved Searches
Frequently used combinations of criteria can be saved for later use.
Saved Searches and Dynamic Dates
Saved Searches preserve frequently used criteria. Owners can share them with selected users and designate a default search for a view.
Capabilities include:
- Reusable Saved Searches
A saved search recalls its criteria without requiring the user to rebuild the same query. - Visible to selected users
The owner can make the saved search available to one or more other DocketTrak users. - Owner-controlled editing and deletion
Only the saved search owner controls its criteria, sharing settings and deletion. - Optional default for a view
A saved search can be designated as the criteria automatically applied when the view opens. - Today, Tomorrow and Yesterday ranges
Dynamic date choices automatically evaluate relative to the day the search is run. - Next Week, Next Month and other dynamic periods
Additional relative ranges keep recurring searches current without manually changing fixed dates.
Dashboards
Dashboard views present key information in a concise visual format. The Account Health Check Dashboard highlights potential data and account-setting issues.
Capabilities include:
- Dashboard section in Views
Available dashboards are organized in a dedicated section of the DocketTrak Views list. - Concise operational metrics
Each dashboard summarizes selected account or portfolio conditions as quickly reviewable metrics. - Color-coded status indicators
Green, yellow and red indicators distinguish no detected issue from smaller or larger potential issues. - Links from metrics to supporting records
A metric opens a Validation View containing the records or settings responsible for its count. - Admin-only dashboards where appropriate
The Account Health Check Dashboard is restricted to Admin users because it evaluates account-wide information. - Expandable dashboard capabilities
Additional dashboards and metrics can extend the same visual reporting concept.
Excel Export
The Excel button exports the current contents of a view, including selected columns and filtered results, for analysis, backup or distribution.
Capabilities include:
- One-click Excel export
Users create an Excel file directly from the current DocketTrak view. - Filtered result sets
Only records matching the active search criteria are included in the export. - Selected view columns
The file follows the columns configured for the view. - Local analysis and distribution
Exported information can be analyzed, retained or shared outside DocketTrak. - Local subscriber data backup
Subscribers can use exports to maintain a current local copy of selected portfolio data. - Use with Scheduled Views
The optional Scheduled Views module can deliver the Excel export automatically.
Scheduled Views
The optional Scheduled Views module automates recurring delivery of a DocketTrak View using Saved Searches and selected dates or times.
Capabilities include:
- Daily, weekly or monthly delivery
Reports can be scheduled on the recurring frequency appropriate to the workflow. - One or more delivery times
A Scheduled View can be sent at a specific time or at multiple configured times during the day. - Single or multiple recipients
The same report can be delivered to one user or a selected group of recipients. - Saved Search filtering
A Saved Search limits each delivery to the records and events matching the chosen criteria. - Email-embedded results
The contents of the view can appear directly in the email message. - Excel attachment or combined delivery
The Excel export can be attached by itself or delivered together with the email-embedded results.
