Automatically Deliver DocketTrak Reports on a Recurring Schedule

The optional Scheduled Views module sends the contents of a DocketTrak View automatically on selected days and times, using Saved Searches to deliver precisely filtered information.

Schedule Any DocketTrak View

A Scheduled View starts with a standard or custom DocketTrak View and delivers its current results daily, weekly, monthly or on another configured schedule.

Capabilities include:

  • Standard and Custom Views
    Any qualifying DocketTrak view can supply the columns and records used in a scheduled report.
  • Daily, weekly or monthly schedules
    Subscribers select the recurring frequency appropriate to the report.
  • One or more delivery times
    A report can be delivered at a specific time or at multiple times during the day.
  • Any day and time
    Scheduling choices support the day and delivery time required by the workflow.
  • Current data at the time of delivery
    Each report is generated from the information matching the view when the schedule runs.
  • Automated recurring reporting
    After setup, reports are generated and sent without repeated manual preparation.

Saved Search Filtering

A custom Saved Search can be applied so each delivery contains only records and events matching selected criteria. Dynamic date ranges keep the report current.

Capabilities include:

  • Saved Search criteria
    The Scheduled View uses a stored combination of search fields and values.
  • Today and Tomorrow ranges
    Relative dates automatically identify records or events for the current or following day.
  • Next Week and Next Month ranges
    Future-period criteria update automatically each time the scheduled report runs.
  • Previous-day, week or month reporting
    Dynamic historical ranges support recurring summaries of recent activity.
  • Client, user and record filters
    Criteria can limit results by client, responsible user, record type and other fields.
  • Reusable dynamic reports
    The same configuration remains useful over time because relative dates change automatically.

Email and Excel Delivery

Report contents can be embedded directly in an email, attached as an Excel file, or delivered in both formats.

Capabilities include:

  • Results embedded in email
    Recipients can review the current view information directly in the email message.
  • Excel export attached
    The scheduled message can include an Excel file containing the view results.
  • Combined email and Excel delivery
    Subscribers can provide both an immediately readable message and an attached file.
  • Selected view columns
    The delivered information follows the column layout of the selected DocketTrak View.
  • Filtered current results
    Only records matching the Saved Search and other active criteria are included.
  • No manual export required
    DocketTrak creates and sends the scheduled output automatically.

Recipients and Timing

Reports can be sent to one or multiple recipients at specific times, supporting internal workflows and recurring client reporting.

Capabilities include:

  • Single or multiple recipients
    A Scheduled View can be addressed to one person or a selected group.
  • Specific delivery time
    Subscribers determine the time at which the report is generated and sent.
  • Multiple times during a day
    The same report can run more than once when a workflow requires frequent updates.
  • Internal user reporting
    Attorneys, paralegals and management can receive reports relevant to their responsibilities.
  • Recurring client reports
    Subscribers can automate selected portfolio reports for client recipients.
  • Delivery without recipient login
    Recipients can review the emailed information without signing into DocketTrak.
